Sr. Administrative Officer
Job Responsibilities
- Providing support as defined to Management and team including word processing, secretarial and administrative support to the team
- Receive, direct and relay telephone messages on a daily basis.
- Maintain the general filing system and file all correspondences in its respective segregated files
- Providing Managing Calendar/schedule/coordinating meetings and writing and communicating minutes of meetings, business memos and circulations.
- Facilitate Administration in HR, GS related, Facilities and other related activities such as raising RAF’s, following up on visas and residency of staff, raising Maintenance work order requests.
- Ensure track record of follow up activities falling under HR and GS are logged and updated at all times and if any issues are raised, to bring it to the attention of Manager Administration for resolution. .
- Undertake timely renewal of all relevant licenses
- Regularly order stationery and refreshment stock and arrange distribute to locations as well as maintain adequate inventory of office supplies, such as printer cartridges.
- Manage complex and ever changing travel arrangements and diaries
- Facilitate staff in their personnel documentation such as visiting cards, passport withdrawals, salary certificates.
- Handle the administrative tasks as required.

مسؤوليات الوظيفة
- توفير الدعم كما هو محدد للإدارة والفريق بما في ذلك معالجة النصوص والدعم الإداري والإداري للفريق
- تلقي الرسائل الهاتفية وتوجيهها ونقلها بشكل يومي.
- الحفاظ على نظام الملفات العام وحفظ جميع المراسلات في ملفاتها المنفصلة
- توفير إدارة التقويم/الجدول الزمني/تنسيق الاجتماعات وكتابة وتوصيل محاضر الاجتماعات والمذكرات التجارية والتداولات.
- تسهيل الإدارة في الموارد البشرية والخدمات العامة والمرافق والأنشطة الأخرى ذات الصلة مثل رفع طلبات RAF ومتابعة التأشيرات وإقامة الموظفين ورفع طلبات أوامر العمل للصيانة.
- التأكد من تسجيل سجل متابعة الأنشطة التي تقع ضمن نطاق الموارد البشرية والخدمات العامة وتحديثه في جميع الأوقات، وإذا تم إثارة أي مشكلات، فيجب عرضها على مدير الإدارة لحلها.
- القيام بتجديد جميع التراخيص ذات الصلة في الوقت المناسب
- طلب القرطاسية والمرطبات بشكل منتظم وترتيب توزيعها على المواقع بالإضافة إلى الحفاظ على مخزون كافٍ من اللوازم المكتبية، مثل خراطيش الطابعة.
- إدارة ترتيبات السفر والمذكرات المعقدة والمتغيرة باستمرار
- تسهيل عمل الموظفين في توثيق شؤونهم الشخصية مثل بطاقات الزيارة، وسحب جوازات السفر، وشهادات الرواتب.
- القيام بالمهام الإدارية حسب الحاجة.
