Freight and Operations Specialist
Job Overview:
- We are seeking a highly organized and detail-oriented individual to join our team as a Freight and Operations Specialist.
- This role will be responsible for coordinating and managing all aspects of freight forwarding operations, including shipment scheduling, documentation, customs clearance, and customer communication.
- The ideal candidate should have a strong understanding of logistics processes, excellent communication skills, and the ability to thrive in a fast-paced environment.
Responsibilities:
- Shipment Coordination: Coordinate the movement of freight shipments from origin to destination, ensuring timely and efficient delivery in accordance with customer requirements.
- Documentation Management: Prepare and manage all necessary documentation for international shipments, including bills of lading, commercial invoices, packing lists, and customs declarations.
- Customs Clearance: Facilitate customs clearance procedures for import and export shipments, liaising with customs brokers, government agencies, and other stakeholders to ensure compliance with regulations.
- Carrier Coordination: Collaborate with carriers, airlines, shipping lines, and trucking companies to secure transportation capacity and negotiate rates for freight forwarding services.
- Booking and Scheduling: Book cargo space with carriers and arrange transportation schedules, optimizing routes and modes of transport to minimize costs and maximize efficiency.
- Customer Communication: Serve as the primary point of contact for customers, providing updates on shipment status, addressing inquiries, and resolving any issues or concerns in a timely and professional manner.
- Supply Chain Visibility: Monitor and track shipments in real-time using freight tracking systems or software, providing proactive updates to customers and internal stakeholders as needed.
- Quality Assurance: Ensure the accuracy and completeness of shipment documentation, verifying that all required information is provided and compliant with regulatory requirements.
- Problem Resolution: Proactively identify and resolve any issues or discrepancies related to shipments, including delays, damages, or missing documentation, to minimize disruptions and ensure customer satisfaction.
- Performance Reporting: Generate and analyze performance reports on key metrics such as on-time delivery, transit times, and freight costs, identifying areas for improvement and implementing corrective actions as needed.
Requirements:
- Bachelor's degree in logistics, supply chain management, or a related field preferred.
- Previous experience in freight forwarding operations, logistics coordination, or supply chain management.
- Strong understanding of international trade regulations, customs procedures, and shipping documentation requirements.
- Proficiency in freight forwarding software, Microsoft Office Suite, and other relevant technology platforms.
- Excellent communication skills, both verbal and written, with the ability to interact effectively with customers, carriers, and internal teams.
- Strong attention to detail, organizational skills, and the ability to multitask in a fast-paced environment.
- Problem-solving and decision-making abilities, with a focus on finding practical solutions to complex logistical challenges.
- Ability to work independently and collaboratively as part of a team, demonstrating flexibility and adaptability to meet changing business needs.
