Executive Office Manager
About the job
We are inviting all the Kuwaiti nationals only to apply for this job Opportunity!
Job Function :
Provide administrative support to CEO and other senior level executives within Gastronomica whilst maintaining the highest level of confidentiality.
Duties and Responsibilities :
Diary management of CEO and top management.
Coordinating, planning and confirming of travel and hotel reservations of the CEO.
Preparing travel itineraries and daily schedules for CEO.
Coordinating and confirming various appointments for CEO.
Coordination, planning and preparation of all corporate meetings and various events
Preparing and issuing meeting agendas and meeting minutes.
Provide administrative support for the completion of documentation of agenda items for Board, Head of Department and Operational meetings.
Prepare various reports, documents and presentations requested by Heads of Departments, CEO and EVP.
Preparation and coordination of all internal and external communications in both English and Arabic.
Transcribe, proof read and revise various communications which may include memos, agendas, meeting minutes, company policies, legal documents and official company requirements.
Liaising with various teams within Gastronomica with regards to allocation of CEO’s time.
Maintaining databases, client and contact lists.
Coordinate reports, schedules and other information.
Responsible for maintaining electronic and manual filing systems.
Support office initiatives driven by department heads and the CEO.
Receive and relay directives, instructions and assignments to and from the CEO’s office.
Ensuring confidentiality.
Any other duties as assigned by direct line manager/supervisor
Responding to information requests from authorized members
Preparing and sorting documents for data entry
Entering data into database software and checking to ensure the accuracy of the data that has been inputted
Responding to information requests from authorized members
Generate monthly reports via MS Excel.
Assist the Manager, to track information relating to company licenses, registrations, insurances, vehicles, visa quotas (for permanent staff and new projects as well) and all renewals with local authorities for the same. (if Required)
Perform ad-hoc administrative duties as assigned, including filing, scanning, photocopying etc. (if required)
Skills :
High level computer skills
Highly effective organizer, planner and coordinator
Clear communicator with the ability to interact with various management and non-management levels
Ability to priorities tasks
Qualification :
Diploma or University Degree
proficient with Microsoft Word, Excel and PowerPoint
Proficient command of written and spoken English and Arabic
Proven secretarial experience at an Executive/Board level
