Logistics/Warehouse Supervisor
About the Job:
- Supervise the logistics team's daily operations, delegating tasks and responsibilities according to internal plans, deadlines, and departmental objectives.
- Monitor employee performance to identify areas for improvement or corrective action and provide support to ensure departmental objectives are met.
- Provide training on new processes to ensure the team consistently performs above standard.
- Arrange and supervise shift schedules and vacations in coordination with the operations team leader, according to work needs.
- Supervise cross-training processes among employees in other teams within the department.
- Review submitted attendance reports to the HR department and monitor performance effectiveness.
- Supervise team KPIs, ensuring continuous improvement.
- Maintain the SLA of Boutiqaat’s overall logistics in coordination with other departments.
- Ensure orders are fulfilled and delivered within promised timings.
- Manage transportation, storage, and distribution of products or materials.
- Address delivery discrepancies or delays.
- Handle shipping or transportation-related inquiries and compliance issues.
- Ensure that shipping documentation is well-maintained, current, and compliant (e.g., cost statements, health certificates, licenses).
- Ensure drivers represent Boutiqaat’s image positively and receive necessary training.
- Manage the flow of returned orders, rescheduled deliveries, no answers, and customer denials.
- Ensure shipments are organized in a FIFO (First In First Out) manner.
- Perform daily shipment aging reports to ensure no delays.
- Ensure proper sortation of shipments into delivery zones.
- Create a mechanism for grouping relevant zones if a zone lacks sufficient shipments.
- Divide a single zone among multiple drivers if there is high shipment availability.
- Knowledge of delivery areas and zones of the country/city of operations.
- Plan distribution routes and rotational plans for drivers to ensure area knowledge.
- Manage shipments and handover to third-party logistics.
- Oversee shipping and receiving activities.
- Arrange and provide transport for requests from other departments (e.g., transfer orders, urgent orders).
- Ensure staff debriefing of non-delivered shipments upon return to the station.
- Ensure dispatch of rescheduled shipments aligns with the new schedule.
- Organize received items into shipments and cases.
- Handover reverse logistics items on the same day to the dedicated returns team in Boutiqaat warehouses.
- Follow up with outsourced logistics drivers.
- Report and resolve any technical issues to the IT department.
- Handle and resolve employee complaints to ensure effectiveness.
- Submit required reports to the Area Manager (e.g., manpower performance, vehicles utilization, maintenance, driver utilization).
- Respond immediately to any process-related problems reported directly to the operations director.
- Recommend and implement programs, policies, and strategies to increase production and optimize space utilization.
- Provide direction in discussing and creating development plans.
- Brainstorm with the team and suggest solutions that balance risk while focusing on operational excellence.
Job Requirements:
- Bachelor's degree in business management or a related field.
- 5+ years of work experience as an operations supervisor or in a similar role.
- Strong organizational, prioritization, problem-solving, and attention-to-detail skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Excellent written and verbal communication skills, preferably bilingual (English & Arabic).
- Strong team player and leader capable of working across multiple functions and disciplines.
- Self-starter with effective communication skills and the ability to handle difficult reporting situations.
- Ability to work under pressure in a fast-paced environment, meet deadlines (overtime may be required), and make effective decisions.
- Ability to adapt to changing organizational and operational needs; capable of leading others through change.
- Efficient in resource utilization (materials, manpower, etc.) without compromising quality.
- Ability to lead and direct all functions and team members within the department.

عن الوظيفة:
- الإشراف على العمليات اليومية لفريق اللوجستيات، وتفويض المهام والمسؤوليات وفقًا للخطط الداخلية والمواعيد النهائية وأهداف القسم.
- مراقبة أداء الموظفين لتحديد مجالات التحسين أو اتخاذ إجراءات تصحيحية وتقديم الدعم لضمان تحقيق أهداف القسم.
- توفير التدريب على العمليات الجديدة لضمان أداء الفريق بشكل يتجاوز المعايير.
- ترتيب والإشراف على جداول الورديات والإجازات بالتنسيق مع قائد فريق العمليات، وفقًا لاحتياجات العمل.
- الإشراف على عمليات التدريب المتبادل بين الموظفين في الفرق الأخرى داخل القسم.
- مراجعة تقارير الحضور المقدمة إلى قسم الموارد البشرية ومراقبة فعالية الأداء.
- الإشراف على مؤشرات الأداء الرئيسية (KPIs) للفريق، وضمان تحسين مستمر.
- الحفاظ على مستوى الخدمة (SLA) للوجستيات العامة في بوتيقات بالتنسيق مع الأقسام الأخرى.
- ضمان الوفاء بالطلبات وتسليمها في المواعيد المحددة.
- إدارة النقل، والتخزين، وتوزيع المنتجات أو المواد.
- معالجة التباينات أو التأخيرات في التسليم.
- التعامل مع الاستفسارات المتعلقة بالشحن أو النقل والمشكلات المتعلقة بالامتثال.
- التأكد من أن الوثائق المتعلقة بالشحن محفوظة بشكل جيد ومحدثة ومتوافقة (مثل: بيانات التكلفة، شهادات الصحة، التراخيص).
- التأكد من أن السائقين يمثلون صورة بوتيقات بشكل إيجابي ويتلقون التدريب اللازم.
- إدارة تدفق الطلبات المرتجعة، والإعادة الجدولة، وعدم الإجابة، ورفض العملاء.
- ضمان تنظيم الشحنات بطريقة FIFO (الأول دخولاً، الأول خروجاً).
- إجراء تقارير يومية عن أعمار الشحنات لضمان عدم وجود تأخيرات.
- التأكد من تصنيف الشحنات بشكل صحيح إلى مناطق التسليم.
- إنشاء آلية لتجميع المناطق ذات الصلة إذا كانت منطقة ما تفتقر إلى شحنات كافية.
- تقسيم منطقة واحدة بين عدة سائقين في حالة توفر شحنات عالية في تلك المنطقة.
- المعرفة بمناطق التسليم والزوايا في الدولة/المدينة التي تعمل فيها.
- تخطيط طرق التوزيع.
- تخطيط خطط دورية للسائقين لضمان معرفة جميع السائقين بمناطقهم.
- إدارة الشحنات وتسليمها إلى خدمات اللوجستيات الخارجية.
- الإشراف على أنشطة الشحن والاستلام.
- ترتيب وتوفير وسائل النقل لجميع الطلبات من الأقسام الأخرى (مثل: أوامر النقل، الأوامر العاجلة).
- التأكد من أن الموظفين يقومون بإعادة الشحنات غير المسلمة إلى المحطة في حالة جيدة.
- التأكد من أن شحنات الجدولة الجديدة تتم وفقًا للتاريخ المحدد.
- تنظيم العناصر المستلمة في شحنات وحالات.
- تسليم عناصر اللوجستيات العكسية في نفس اليوم إلى فريق الإرجاع المخصص في مستودعات بوتيقات.
- متابعة السائقين الخارجيين.
- الإبلاغ عن أي مشكلات فنية قد تحدث إلى قسم تكنولوجيا المعلومات وحلها.
- التعامل مع الشكاوى والمشكلات المتعلقة بالموظفين لضمان فعالية الحلول.
- تقديم تقارير عند الحاجة إلى مدير المنطقة، مثل: تقرير أداء القوى العاملة، تقرير استخدام المركبات، تقرير صيانة المركبات، تقرير استخدام السائقين.
- الاستجابة الفورية لأي مشكلات تتعلق بالعملية والإبلاغ عنها مباشرة إلى مدير العمليات.
- التوصية وتنفيذ البرامج والسياسات والاستراتيجيات لزيادة الإنتاج واستخدام المساحة بشكل فعال.
- تقديم التوجيه في مناقشة وإنشاء خطط التطوير.
- العصف الذهني مع الفريق وتقديم اقتراحات للحلول التي توازن المخاطر مع التركيز على التميز التشغيلي.
متطلبات الوظيفة:
- درجة البكاليوس في إدارة الأعمال أو مجال ذي صلة.
- خبرة 5 سنوات أو أكثر كمشرف عمليات أو في دور مشابه.
- مهارات في التنظيم وتحديد الأولويات، وحل المشكلات، والانتباه للتفاصيل.
- إتقان استخدام Microsoft Office (Word، Excel، PowerPoint).
- مهارات تواصل كتابية وشفوية ممتازة، يفضل أن تكون ثنائية اللغة (الإنجليزية والعربية).
- لاعب فريق قوي وقائد قادر على العمل عبر وظائف وتخصصات متعددة.
- يجب أن يكون لديه القدرة على التواصل بفعالية (شفهيًا وكتابيًا)، وأن يكون مبادرًا ويستطيع التعامل مع مواقف التقرير الصعبة.
- القدرة على العمل تحت الضغط (في بيئة سريعة الحركة للغاية)، والالتزام بالمواعيد النهائية (قد يتطلب العمل الإضافي) واتخاذ قرارات فعالة.
